Our approach to day-of coordination draws inspiration from the Anglo-Saxon tradition of the “Month Of” wedding coordinator*. We take charge of coordinating not only on the day itself but also throughout the month preceding your wedding.
HOW IT WORKS
We begin with a meeting in a pleasant location or a video conference with you, the future spouses, to understand your expectations and desires for this special day. Subsequently, we can continue communication with the most involved person in the preparations.
WHAT WE SET UP
– Establishment of the schedule and the reverse schedule..
– Assessment of remaining tasks and their execution order.
– Management of the final expenses.
– Confirmation of guest responses.
– Organization of the layout of decorations, tables, and the guestbook.
–Contacting all vendors to review details.
–Verification of vendor contract information (schedules, service limits, equipment and material needs, etc.).
– Conducting a technical visit to the wedding venue, in the presence of the caterer’s maitre d’ and, if possible, all operational staff positions.
– Clarification of the roles of witnesses and the honor team, as well as key moments.
– Coordinating this information with the DJ, caterer, photographer, and videographer.
–Establishing and distributing the schedule to all stakeholders (ensuring surprises are kept for those concerned).
–During the last month, we schedule weekly phone calls or video conferences to discuss final preparations and ensure everything is on track.
– The rest of the time, we are entirely available via email, WhatsApp, or Signal.
ON THE DAY
OUR MANAGEMENT AND ORGANIZATION :
– Welcoming vendors and setting up in their respective areas.
– Organizing a special moment for the couple with their honor teams.
– Setting up decorations, sceneries, and flatlays* (flatlay photographs)
– Arranging various elements: guestbook, gifts for guests, collection box, photobooth, etc. , etc.
– Considering every wish of the couple in the smallest details ((I want my mom to be near me during the preparations, I want to give such a gift to my witness, I would like so-and-so not to see me before a certain time…)
AS A BONUS DURING THE PREPARATIONS
– I take a few cool private photos of magical moments during the preparations.
– I conduct a short guided meditation like sophrology with the sensitive couple if they’re into it. Otherwise, I offer a small drink or chocolate! To each their own thing.
– Technical elements working correctly
– Electrical appliances functioning properly
– Correct placement of ceremony chairs, as well as all elements in the designated dining area.
– First look
– Symbolic Ceremony: entrance of guests, of the couple, music, speeches, exit
– Start of the cocktail hour
– Various photographs
– Various entertainments
Start of the meal. I leave after going through the final details with the DJ/caterer/photographer/videographer/witnesses… (My departure time is predetermined, based on planned entertainment/special details.)
