Why I Love Doing Wedding Day Coordination

Coordination
My approach to Day-Of coordination comes from the Anglo-Saxon tradition: the “Month Of” wedding coordinator*.

  • I take care of coordination during the month leading up to the wedding, not just on the wedding day.

I really enjoy this role because couples invest so much energy into their wedding preparations, and I love being the discreet helping hand who executes and sets up everything they’ve been planning for months.

How it works
We start with a meeting in a lovely location (or via video call) with both future spouses to fully understand their expectations.

(After that, it’s fine to continue communicating with the person most involved in the preparations.)

Meeting location with the couple:

We set up:
– The schedule
– The retro planning

We review:
– What’s left to do and in which order
– Final expenses

We finalize:
– Guest responses
– The arrangement of decorations, tables, the guestbook…

I will:
– Contact all vendors to check in.
– Confirm details of their contracts (timing, scope of services, equipment needs…)
– Conduct a technical visit to the venue with at least the catering maître d’, ideally all operational positions.
– Clarify roles with the witnesses and the wedding party team, specifying who does what and when.
– Coordinate this information with DJs, caterers, photographers, videographers…
– Set up and distribute the schedule to all vendors. (While keeping surprises hidden from the couple.)

During the last month, we have a weekly call or video conference to discuss final preparations and ensure everything is on track.

The rest of the time, I’m fully available via email, WhatsApp, or Signal.

On the Wedding Day
The wedding planner dresses in black and gold, according to her visual identity.
I always wear black unless a specific theme or request calls for something else.

Management & Organization:
– Arrival of vendors and their setup in designated areas
– Relaxed moments for the couple with their wedding party
– Arrangement of decorations, scenography, and flatlays* (*flat lay photography)
– Placement of various details: guestbook, wedding favors, gift box, photobooth…
– Fulfilling the couple’s wishes down to the smallest detail (e.g., “I want my mom with me during prep,” “I want to give this gift to my witness,” “I don’t want X to see me before a certain time…”)

Bonus during preparations:
– I take a few lovely private photos of magical moments during preparations
– I can lead a short guided meditation or sophrology session if the couple is interested
Otherwise, I offer a little drink or some chocolate! Everyone has their thing.

Checks:
– Ensure technical elements run smoothly
– Verify the functionality of electrical devices
– Check the proper arrangement of chairs for the ceremony and all elements in the reception space

Then

Coordination:
– First look
– Symbolic ceremony: guest entrance, couple entrance, music, speeches, exit
– Start of the cocktail
– Various photographs
– Various entertainment
– Start of the meal

I step away after reviewing final details with DJs, caterers, photographers, videographers, and witnesses.
(My departure time is predetermined based on planned entertainment and special details.)

A few days later, we have a little debrief because I love getting your fresh impressions while you’re still on cloud nine.
